| How Printers Work |
| Printers are now used in every business and home office and are seen as a vital piece of equipment, allowing electronic documents to be mass produced. Different types of printers work in different ways. Inkjet machines print by putting drops of ink onto the paper to form words and images. This is done by either putting a slight pressure on the ink cartridge to force ink out, or by using a current to heat the ink, which then forms bubbles which push the ink out. Most home and small office printers currently use the first of these methods, with many big businesses using the latter. Laser printing works by using an electrostatic charge on a rotating drum. The document to be printed is imprinted on this drum in electronic form before being charged. The black and colour sections of the document will attract different charges, whilst white will not attract any. The toner inside the printer is then attracted to this electrostatic charge and deposited on the paper being run through the machine to duplicate the document. They are easy to network and produce good quality documents at a fast rate. They are cheaper than laser printers or inkjet printers and are good for producing carbon copy documents, but they areusually considered too slow and noisy for general office use. They use plastic dye film instead of standard printing ink, which means the consumables (ink refills, printing paper etc) are expensive, but this is compensated by the extremely high quality and work rate of the printer. They are considered too noisy for general office use though, and cannot print images or varying font types. They are used in many photo-developing stores. View All-in-One (Multifunction) Printers. |  | | Specifications | | Printer Type This will give an overview of the printer, such as whether it prints in monochrome (black and white/grey scale) or colour, and whether it is a laser or inkjet printer. | | MaximumMedia Size This is the size of paper that can be printed onto. The majority will use standard A4 paper, although A3 printers are also widely available. | | Maximum Resolution Resolution is measured in dpi – dots per inch –and will determine the quality of your printouts. The higher the resolution, the better thequality will be. | | Interface This determines how your printer is connected to a Computer or office network. For small offices, a parallel port can be used for basic networks. Most printers use a USB connection, which is high speed and can be used to link many printersand computers together. | | RAM Installed Printers use memory to store the documents whilst they are printed out. The greater the memory, the better the resolution and efficiency of the printer can become. | | Media Capacity The number of sheets of paper the printer can hold ready to printonto. Some printers also state an Output Tray Capacity, which is the amount of printed sheets the printer can store. | | Monthly Duty Cycle This is the amount of sheets of paper that can be printed with outcausing excessive wear to the machine. | | System Requirements This determines whether the printer is compatible with the computers you wish to run it from. Most printers are compatible with any computers manufactured in the last eightyears, but if unsure please contact our support team or the printer manufacturer. | | Print Speed Print speed is measured in ppm – pages per minute. This is how many blank sheets the printer canget through in a minute rather than actual printed pages. Grey scale printing is much quicker than colour, and the greater the quality of the document, the longer it will take to print out. Laser printers are capable of much higher speeds than inkjet's. | | Media Type This is the type of material that can be printed on effectively, such as plain paper and envelopes. | What do I do if my printer breaks |
| If your machine stops working, try referring to any user manuals that came with the product, since they will usually have a list of common problems and solutions. | How do I cancel my print jobs? |
| On some computers, a progress box will stay on screen whilst printing is taking place. If this is on your screen you can hit the 'Cancel' button. If its a print job you sent to a printer, you can cancel it by going to the start menu on your computer, then settings and printers. If you double click on the printer you're using it will open up the print queue. From here you can right click on yours (On a networked printer this will have your name next to it) and cancel or delete the print. Back to top |

| The colour in my prints is distorted |
| If your prints are coming out with faint or mixed colours it usually means you will need to replace one or all of the colour cartridges. You can purchase cartridges here. Back to top |
| There's a line down my printing |
| This happens because the print heads are too close to the paper and touch it, causing the running ink to smudge and form a line down the paper. You can solve this by either moving the print heads further away (Some printers have this adjustable) or using a thinner paper type. You can purchase paper by size here. Back to top |
| My printer is giving out rows of random characters rather than my printing |
| This is usually one of two things. One possibility is that the drivers for your printer don't recognise certain characters and so is printing your documents in different character sets. You can fix this by downloading the appropriate printer drivers from the manufacturers website's, a list of which can be found here. The other reason for this is that the printer is doing test prints. These should only last a few pages. If they continue, check your printer settings to turn it off or consult your user manual. | How do I replace the cartridge in my printer? |
| Most manufacturers have made this easy to do. If you lift the lid of the printer you should see the print cartridges, which can be easily popped out and replaced with new ones. | How do I know which paper to print onto? |

| Can I network my printer? |
| This depends on the type of printer you have. Home use printers cannot usually be networked, but for office printers it is common practice to network printers so that the whole office can use them.
